Senior ERISA Communications Specialist

Remote/Hybrid (based on business needs)

Position Summary

Enterprise Group Planning is seeking an experienced and highly skilled Senior ERISA Communications Specialist to lead the preparation, oversight and compliance of employer-sponsored health plan documentation and participant communications. This senior-level role owns the end-to-end documentation lifecycle, supports complex plan designs, and serves as a subject-matter expert for ERISA documentation standards and regulatory requirements.

The Senior ERISA Communications Specialist plays a critical leadership role within EGP’s compliance and documentation function and works closely with operations, legal, and client teams to ensure accurate, timely, and compliant plan communications.

Key Responsibilities 

Plan Documentation Ownership

  • Lead the drafting, review, maintenance and release of employer-sponsored health plan documentation using The Phia Group’s compliant document tools.
  • Produce and oversee:
    • Master Plan Documents
    • Summary Plan Descriptions (SPDs)
    • Summaries of Benefits and Coverage (SBCs)
  • Review and support complex plan designs, custom provisions and amendments.

ERISA Compliance & Governance

  • Ensure all ERISA disclosures and participant communications meet regulatory requirements and mandated timing standards.
  • Oversee document distribution strategies, tracking and audit readiness.
  • Monitor regulatory developments and assess their impact on plan documentation and communication practices.

Client, Audit & Advisory Support

  • Serve as the primary subject-matter resource for document-related inquiries from employer clients and internal stakeholders.
  • Support audits, regulatory reviews and compliance examinations.
  • Partner with legal, compliance and leadership teams to advise on documentation strategy and governance.

Leadership & Mentorship

  • Review documentation prepared by mid-level and junior staff for accuracy, consistency and compliance.
  • Provide coaching, guidance and training on ERISA documentation standards and best practices.
  • Help establish, maintain and continuously improve documentation workflows, quality controls, and internal standards.

Qualifications & Experience

Required

  • 7–10+ years of experience in employee benefits documentation and ERISA compliance.
  • Extensive experience drafting and reviewing SPDs, plan documents, SBCs and ERISA notices.
  • Strong working knowledge of ERISA disclosure requirements and plan governance standards.
  • Proven ability to manage complex documentation across multiple employer clients.

Highly Preferred

  • Paralegal background or legal experience in employee benefits or health care law.
  • Advanced experience using The Phia Group documentation and compliance tools.
  • Prior experience with a third-party administrator, law firm, or employee benefits consulting organization.
